Using AI to Write a Business Plan

The short answer: AI can build you a genuinely good business plan in an afternoon — if you supply the truth and it supplies the structure. The method is a chained conversation, not a single prompt: brain-dump your real facts, have AI interview you for the gaps, generate section by section rather than all at once, attack the result by asking it to find what a funder would find, then verify every number yourself. What AI cannot supply is your actual costs, your market’s real prices, CIPC and SARS specifics, or evidence that anyone will buy. A beautiful plan built on invented numbers is a fiction document, and funders read fictions daily and decline them politely.

Learn: what a plan is actually for

A business plan has two customers. You — because writing it forces the thinking: who buys, why you, what it costs, when the money runs out. And funders or partners — as evidence you’ve done that thinking.

Funders skim to three places: the numbers (do they hold together?), the market claim (is demand proven or presumed?), and you (does this person understand their own plan?). AI helps enormously with structure and prose — and those three things are precisely what only you can supply. That’s the division of labour, and getting it backwards is why so many polished plans get declined.

The structure AI should build to: executive summary (written last) · business description and legal structure · market analysis covering your area, your customers and named competitors · products or services and pricing · marketing and sales plan · operations (suppliers, premises, equipment, staff) · financial plan with startup costs, monthly cashflow forecast and break-even · funding requirement and use of funds · supporting documents.

Do: the five-stage chained method

Stage 1 — The truth dump (yours, 30 minutes)

Write rough, honest notes: what you sell, to whom, at what price, what things actually cost using real quotes rather than guesses, what competitors charge, what you have versus what you need, and any proof of demand — pre-orders, a waiting list, existing sales. That validation evidence matters more to a funder than any paragraph you could write. See the validation gate.

Stage 2 — The interview

“You are an experienced South African small-business consultant. I’m creating a business plan for [type] in [town]. Here are my notes: [paste]. Before writing anything, interview me — ask the questions a funder would ask, one at a time, until you have what a strong plan needs.”

Answer honestly. Every “I don’t know yet” becomes an item on your research list, which is more valuable than a confident guess.

Stage 3 — Section by section

“Write the Market Analysis section using only the facts from our conversation. Where evidence is missing, insert [VERIFY: what’s needed] rather than inventing anything. Plain professional English, no hype.” Repeat for each section.

The [VERIFY] instruction is the integrity lock. A plan full of flagged gaps you then go and fill beats a plan full of invisible fictions.

Stage 4 — The attack

“Now be a sceptical funding assessor at a South African development finance institution. Find every weakness, unsupported claim and questionable number in this plan. Rank the three most likely reasons to decline it.” Fix what it finds. Then run it once more.

Stage 5 — The numbers, by hand

Build the financials yourself in a spreadsheet. AI does arithmetic unreliably and knows your costs not at all. Every rand in the plan should trace to a quote, a price check or an existing record. Then paste the finished numbers back and ask: “Sense-check these financials — what would a funder question?”

Funder-specific honesty

Development finance institutions such as SEFA and the NYDA, and commercial banks, each have their own required formats and annexures. Get the current requirements from the official source and shape the plan to them rather than submitting a generic document.

And expect to defend the plan in person. If AI wrote words you can’t explain in your own language, rewrite them until you can. You will be the one in the room, and being unable to explain your own market analysis ends applications faster than a weak number does.

⚠️ Scam warning

The ecosystem around entrepreneurs seeking funding is genuinely predatory. “Funding agents” charging upfront fees to submit applications to SEFA or the NYDA — those applications are free, and you can submit them yourself. “Guaranteed funding” consultants — nobody can guarantee a funding decision. And expensive plan-writing services producing generic templates with your business name pasted in, which assessors recognise immediately because they see the same template weekly.

Apply directly through official channels. If you want help, pay for an hour with a qualified accountant or business adviser to review your plan, rather than paying someone to write a document you can’t defend.

FAQ

Will funders reject an AI-assisted plan?

Funders reject weak plans — thin evidence, wobbly numbers, owners who can’t defend them. A well-evidenced plan drafted with AI and genuinely mastered by you is simply a well-written plan.

How long should a business plan be?

Roughly 15 to 25 pages for a funding application, or two to four pages in lean canvas style if it’s purely for your own thinking. Length impresses nobody; evidence does.

Can AI do the financial projections?

It can structure them and sense-check them. The inputs — real quotes, real prices, honest sales estimates — are yours, in a spreadsheet you control.

Do I even need a business plan?

For funding, yes, in their format. For yourself before launch, the thinking matters far more than the document — a validated idea and a working cashflow forecast beat 25 pages nobody reads.
